Booking platform development: appointments, slots and reservations built around your rules
A booking platform shows real availability, takes the booking and any advance payment, stops double-booking, and reminds the customer and the staff member. WavX builds booking and appointment platforms as web or mobile apps with Razorpay payments, calendar sync and WhatsApp reminders. For one person taking simple appointments, a hosted scheduling tool costs far less and is the right start.
What a booking platform has to get right
Every booking system, whatever the business, does the same four jobs:
- Show real availability. Not just open hours, but which staff member, room, court, vehicle or table is free, after breaks, buffers between bookings, leave and existing bookings.
- Take the booking without clashes. Two customers pressing "book" for the same slot at the same moment must not both succeed.
- Take money where the business needs it. An advance, the full amount, or nothing, with clear rules for cancellation and refund.
- Remind people. The customer before the appointment, the staff member at the start of the day, the owner when no-shows pile up.
A simple scheduling tool does these for one person with fixed-length appointments. The work starts when the rules get specific to your business.
WavX builds booking and appointment platforms as part of its custom software work, as responsive web applications, as mobile apps, or both.
When a hosted scheduling tool is the right answer
As of October 2026, Calendly has a free plan, and its Standard plan, which adds payment collection through Stripe and PayPal, is $10 per seat per month billed annually. For a consultant, tutor or single practitioner offering a few appointment types, that is far cheaper than any build. Start there.
Industry products are the next step. A clinic or a salon with standard needs is usually better served by software made for that trade; the pages on clinic management software and salon and spa software cover when to buy and when to build in those cases.
A custom booking platform is worth its cost when:
- Bookings depend on more than one resource. A treatment needs a therapist with the right skill and a free room. A service visit needs a technician near the address.
- You sell packages, memberships or credits. Ten sessions bought in advance, consumed one at a time, with expiry.
- Several branches share customers and staff. Different hours and prices per branch, one customer record.
- The booking feeds the rest of the business. It creates the invoice, the patient record, the job card or the housekeeping task.
- Payment rules are yours. Advance by service type, partial refunds by notice period, no-show fees.

Modules in a typical build
| Module | What it does | Notes |
|---|---|---|
| Services and resources | What can be booked, its duration, price, and which staff, rooms or equipment it needs | The model that every other module depends on |
| Availability engine | Works out free slots from working hours, leave, buffers and existing bookings | Branch-specific rules live here |
| Booking and holds | Reserves a slot while the customer pays; releases it if payment fails | A database constraint stops double-booking |
| Payments | Advance or full payment by UPI, card, net banking; refunds | Via Razorpay; confirmed by webhook |
| Customer accounts | Booking history, packages, saved details; login by phone OTP | Guest booking where a login would put people off |
| Reminders | Confirmation, reminder and follow-up messages | Email, SMS, or the WhatsApp Business API |
| Calendar sync | Two-way sync with Google or Microsoft calendars | Built to recover from missed change signals |
| Staff app or view | Today's schedule, check-in, notes, mark complete | Mobile-friendly; often the most used screen |
| Admin panel | Services, prices, staff, branches, blocked dates, reports | Owner sees bookings, revenue, no-shows, utilisation |
| Waitlist and cancellations | Offers freed slots to people waiting | Optional; valuable where demand exceeds supply |
On calendar sync, one detail decides reliability. Google's Calendar API, as its documentation states, sends a notification that something changed but not what changed, so the system has to fetch the change itself; and notification channels expire and must be replaced. A sync that ignores this works in testing and drifts out of step in production.
Trade-specific versions
The same modules take different shapes:
| Business | What changes |
|---|---|
| Clinics and doctors | Token or slot booking, consultation fee in advance, patient record linked to the visit. See building a doctor appointment system. |
| Hotels and homestays | Nights instead of slots, room types and inventory, seasonal rates. See building a hotel booking system. |
| Salons and spas | Staff skills, multi-service bookings, packages and memberships |
| Sports courts, studios, coworking | Resource booking by the hour, recurring bookings, memberships |
| Home services | Booking by address and technician area; at that point it is closer to a marketplace |
What it costs: a planning range
Booking apps are worked from the model behind the app cost calculator, which lists a booking app as its example of a simple app; web platforms from the software cost estimator. These are planning ranges for budgeting, not quotes.
| Scope | How the model builds it | Subtotal | Planning range |
|---|---|---|---|
| Booking app for one business, iOS and Android from one codebase | Simple app base ₹1,50,000 + accounts ₹40,000 + payments ₹80,000 + push notifications ₹25,000 + admin panel ₹1,00,000 | ₹3,95,000 | ₹3,35,750 to ₹4,93,750 |
| Multi-branch booking web platform with calendar and WhatsApp integrations | Custom web application base ₹4,50,000 + auth and roles ₹60,000 + payments ₹90,000 + real-time and notifications ₹70,000 + third-party integrations ₹60,000 | ₹7,30,000 | ₹6,20,500 to ₹9,12,500 |
Assumptions: standard design; cross-platform for the app; small scale for the web platform. The models' spread runs 15% below to 25% above the subtotal. Custom UI design multiplies by 1.25. Adding a mobile app to the web platform adds ₹2,00,000 in the software model.
Timeline
The cost model gives 6 to 10 weeks for subtotals under ₹6,00,000 and 10 to 16 weeks above. The first scope falls in the shorter band, the second in the longer one.
- Model the bookable things (week 1). List every service, its duration, what it needs, and the rules: buffers, advance limits, cancellation terms, branch differences.
- Availability and booking. Built and tested first, including two people booking at once.
- Payments and reminders.
- Staff and admin screens.
- Pilot at one branch or for one service. Run alongside the current method, check every booking, then widen.
The booking app guide covers the founder's side of these decisions.
What WavX needs from you
- The rule book. Every service, its duration, who or what it needs, and the exceptions staff currently handle in their heads. The exceptions decide the build more than the main flow does.
- Your cancellation and refund terms, written down, including what happens on a no-show.
- Current booking volume, roughly, by day and by branch. It decides how much effort goes into the availability engine and the staff screens.
- The accounts the platform will run on: payment gateway, WhatsApp Business number, domain and hosting, all in your company's name. The source code and IP of what WavX builds belong to your company.
No-shows and payment rules
No-shows are usually the reason a business wants online booking with payment, and the rules are a business decision before they are a software one. The common options are an advance that is kept on a no-show, a card or UPI payment taken in full at booking, or no payment but a confirmation the customer must reply to. Each has a cost: an advance gives customers a reason to turn up, and it can also put off someone booking for the first time. A custom platform can apply different rules to different services or customer types, for example no advance for repeat customers, which a hosted tool usually cannot.
When not to build one
- One person, fixed appointments. Use a hosted scheduling tool.
- A standard clinic, salon or hotel. An industry product will do most of it; build only if it cannot model a rule your business depends on.
- You are not sure customers will book online. Test demand with a hosted tool and a WhatsApp number first. Build when you know the volume and the rules.
Frequently asked questions
How much does a custom booking platform cost?
From the WavX cost model, a cross-platform booking app for one business with accounts, payments, reminders and an admin panel works out to a planning range of about ₹3.4 lakh to ₹4.9 lakh. A multi-branch booking web platform with calendar and WhatsApp integrations is about ₹6.2 lakh to ₹9.1 lakh. These are planning ranges, not quotes.
Can customers pay an advance or the full amount when booking?
Yes. We usually integrate Razorpay so customers can pay by UPI, card or net banking. The booking is confirmed only when the payment gateway's webhook confirms the payment, not when the browser says so, and unpaid holds are released after a set time.
Will it sync with Google Calendar?
Yes. Staff calendars can block slots in the booking system and new bookings can appear in their calendars. Google's API sends a change signal but not the change itself, and its notification channels expire and must be renewed, so the sync is built to re-check and to recover if a signal is missed.
How do you stop two people booking the same slot?
The database itself refuses a second booking for the same resource and time, so two customers pressing the button at the same moment cannot both succeed. Checking availability on the screen alone is not enough.
Should we just use Calendly or a similar tool?
If you are one or a few people offering fixed-length appointments, yes. Custom is worth it when you have rooms, equipment or staff with different skills, packages and memberships, multi-branch rules, or the booking has to feed your billing and records.
