Fees and enquiries are where most institutes lose money quietly: an unpaid instalment nobody chased, or an enquiry nobody called back. If only one module is built well, it should be fees.
Rules the software has to respect
Two sets of rules shape what the software must record. How they apply to your institute is for your adviser to confirm; the software's job is to make compliance easy.
The 2024 coaching centre guidelines
The Ministry of Education issued Guidelines for Registration and Regulation of Coaching Centre on 16 January 2024. Among other things, they say:
Age at enrolment. A coaching centre should not enrol students below 16 years of age; enrolment should be only after the secondary school examination.
Fees cannot rise mid-course. The fee on which a student enrolled for a course and duration is not to be increased during the course.
Refunds. A student who paid in full and leaves mid-course is to be refunded for the remaining period, pro rata, within 10 days.

Children's personal data
The Digital Personal Data Protection Act, 2023 defines a child as anyone under eighteen and, in Section 9, requires verifiable consent of a parent or lawful guardian before processing a child's personal data, subject to exemptions and the manner set by rules. Many coaching students are under eighteen. The software therefore:
Records the guardian and the consent given at admission, with the date.
Limits who in the institute can see student contact details and marks.
Keeps an audit log of who viewed or exported student data.
Supports deleting or exporting a student's data on request.
The exemptions that apply to educational institutions and their timing are set by the DPDP Rules, which your adviser should read for your case.
Payments and messages
Online fee payment is built on a payment gateway with UPI, cards and net banking. For monthly fees, UPI Autopay lets a parent approve a recurring mandate once instead of paying each month by hand. Every payment, online or cash, produces a receipt and updates the student's dues immediately.
Parent messages usually go over WhatsApp. Meta's documentation says template messages are the only type that can be sent outside a customer service window, and a template must be approved before it is sent. So absence alerts and fee reminders are written once as templates, approved, and reused. The WhatsApp Business API page covers how that works and what it costs.
Planning range

An institute with tens of thousands of app users moves to the estimator's growing scale, which multiplies the subtotal by 1.3. How the build runs
Process study. WavX sits with the front desk and the accounts person, collects the admission form, fee structure, refund policy and a sample timetable, and lists every discount and payout rule.
Fees and admissions first. Students, batches and fee ledgers are built and loaded with current students before anything else.
Attendance and messages. Attendance and parent alerts are added, tested with one batch.
Tests and material. Marks entry or online tests, then study material.
Student and parent app. If needed, released to one batch first and then to the rest.
Branch roll-out. One branch runs on the system for a month before the others move.

When you should not build
You have one centre and ordinary fees. A ready-made coaching app costs a fraction and is ready today.
You mainly sell recorded courses online. A course platform suits that better than institute-management software.
Your process is not settled. If fee and refund rules change every term, run them on paper or an app for a while and write down what works; that becomes the specification.

How much does custom coaching institute software cost?

Should a single tuition centre build its own software?
Usually not. Ready-made coaching apps cover batches, attendance, fee reminders and simple tests for a monthly fee. Build only when the app cannot follow how you run fees, branches or faculty pay, or when your own branded app is part of how you compete.
Can parents get attendance and fee reminders on WhatsApp?
Yes. Absence alerts, fee due reminders, test results and timetable changes can go out on WhatsApp through the WhatsApp Business Platform, using message templates approved by Meta. SMS and email are the fallback.
Can it run online tests and share recorded lectures?
It can. Online tests with timers, question banks and result analysis are a module. Recorded lectures are usually hosted on a video service and played inside the app, rather than stored on your own server, which keeps hosting costs predictable.
We already use biometric attendance machines. Can those connect?
Often, if the device can export its logs or offers an integration. We check the exact model before quoting. If it cannot, QR code or app-based attendance by the teacher is the usual alternative.
