What custom inventory software is for

Inventory software answers three questions at any moment: how much of each item you have, where it is, and what it is worth. Custom inventory software answers them using your items, your units and your locations, and it refuses the shortcuts that make stock figures drift.

The usual reason to build is that the figure on screen and the count on the shelf have stopped agreeing. That happens when stock moves in ways the current tool cannot record:

More than one godown, shop or van, with transfers between them.

Batches and expiry dates, or serial numbers that must be traced to a customer.

One item bought in cartons, stored in boxes and sold in pieces or by weight.

Material sent out for job work and returned as something else.

The same stock sold from a counter, a website and a marketplace.

Stock that belongs to someone else, such as consignment goods.

If a spreadsheet is carrying this today, the limit you reach is not size. Google Sheets allows up to 20 million cells per spreadsheet as of October 2026, and an Excel worksheet holds 1,048,576 rows. The limit is that a sheet stores a quantity that anyone can overwrite, instead of a list of movements that add up to it. The page on outgrowing Excel covers the signs.

GST and Tally: what to settle first

E-way bills. Under Rule 138 of the CGST Rules, a registered person who causes movement of goods of consignment value above ₹50,000 has to furnish the consignment details in Part A of an e-way bill, with transport details in Part B. That includes movement for reasons other than a sale, so a transfer between your own godowns can need one. The dispatch and transfer screens should capture what the e-way bill asks for.

E-invoicing. E-invoicing applies to taxpayers with aggregate turnover exceeding ₹5 crore, and has done since 1 August 2023. If the inventory system raises the invoice, it has to report it and print the reference number. If billing stays in another product, the inventory system only needs to hand over the dispatch details.

HSN codes and tax rates. These belong on the item, once, so that every document picks them up. Your chartered accountant should confirm the codes before the item master is imported.

Tally. In most builds the inventory system owns quantities and movements, and Tally keeps the accounts. TallyPrime exchanges data with other applications in XML and JSON, and can be read over ODBC for reporting. The decision that matters is which system is the master for the item list, because two item masters with different names is how reconciliation work begins. See the Tally integration page.

What to decide before building

Units and conversions. How each item is bought, stored and sold. Fix this before anything else.

Valuation method. Ask your accountant which method the books use, so the stock value in the system matches the balance sheet.

Negative stock. Whether the system may let a sale go through when stock shows zero. Allowing it keeps the counter moving; blocking it keeps the figures honest.

Who can adjust stock. Adjustments need a reason and an approver, or they become the new way to hide a loss.

Barcodes. Use the manufacturer's codes where they exist, and print your own labels for loose or repacked items.

The opening count. Pick a date, count everything, and start the ledger from that count. There is no shortcut.

Connectivity in the godown. If the signal is weak, scanning screens must work offline and sync later.

Billing. Whether invoices are raised in this system, in Tally, or at a POS counter.

How WavX builds it

The build starts from the stock ledger, because every other screen is a way of writing to it or reading from it. The order after that is receipt, dispatch, transfers, then counts and reports. Scanning is tested in your own godown with your own labels before it is called finished, since lighting, label quality and signal decide whether staff use it.

Build custom when the way your stock moves is the unusual part: job work, repacking, mixed units, consignment, or rules about which batch may go to which customer. A product will handle the ordinary movements well and leave those to a spreadsheet beside it, which is where the errors return.

Can it work with barcode scanners and phones?

Yes. Handheld USB and Bluetooth scanners behave like a keyboard, so they work with a web screen. A phone camera can scan too, through a mobile app or a mobile web page. We decide between them by how many scans a person does in a shift and whether the godown has a reliable signal.

Will it sync with Tally?

It can. The usual split is that the inventory system owns quantities, locations and movements, and Tally owns the accounts. Sales and purchase entries are pushed to Tally so the accountant does not enter them twice. TallyPrime exchanges data with other applications in XML and JSON.

We sell on our website and on marketplaces. Can stock update everywhere?

Yes, if each channel offers an API or a supported connector. The inventory system becomes the single stock figure and pushes available quantity to each channel. If selling across marketplaces is most of your business, a product built for that, such as Unicommerce, may fit better than a custom build.

How long does it take to build?

The cost model puts a single-location tool in its 6 to 10 week band and a multi-location system in its 10 to 16 week band. The opening stock count and item master clean-up are your side of the work and often decide the real go-live date.
