You have outgrown Excel when the sheet is no longer a record but a process: several people enter data into it, the same figure is typed in more than one place, and a wrong number has reached a customer or a supplier. File size is rarely the limit. Answer the seven questions below; four or more means it is time to look at software.

What it looks like

A business rarely hits the size limit of a spreadsheet. A single Excel worksheet holds 1,048,576 rows, and a Google Sheets file holds up to 20 million cells, as of October 2026. The trouble starts far earlier, and it looks like this:

Two people have two versions of "the latest file", and both have been edited.

Stock on the sheet does not match stock on the shelf, and nobody can say when they diverged.

An order, a payment or a delivery is typed into one sheet, then typed again into another.

A customer was quoted an old price, or promised an item that had already been sold.

Month-end means days of copying between sheets, done by the one person who understands the formulas.

Answer yes or no. The thresholds are rules of thumb, not statistics: each marks the point where a spreadsheet stops being able to do the job by its design, whatever the size of the business.

A sheet has no idea who is allowed to change what. Every extra editor is another way for a number to be overwritten.

A cell holds the current value. It does not require a transaction behind every change, so errors and theft look the same as ordinary edits.

Causes, in the order to check them

1. The sheet has become a shared database

Check: count the people who edited the file last week, and the copies of it in email and WhatsApp. If either number is above one, this is the cause.

2. One fact lives in several sheets

Check: pick one order from last week and list every file it was typed into. Each extra file is a place where it can be wrong.

3. There are no transactions, only totals

Check: pick one stock item whose count is wrong and try to list every movement in and out for the past month. If you cannot, no amount of care will keep the count right.

4. Other systems are not connected

Check: list what is re-typed from your billing software, your online store or your bank statement into the sheet. This is an integration gap, not a spreadsheet fault, and it survives a move to new software unless the connection is built.

What fixes it, cheapest first

Repair the spreadsheet. One shared online file in place of emailed copies, locked formula cells, drop-down lists in place of free typing, a dated backup every week. This is enough for a score of two or three with a single cause.

Have it built. When to stay on Excel

Do not replace a spreadsheet that one person maintains, that feeds no other system, and that has not caused an error anyone can remember. Software adds a monthly cost or a build cost, and a process that is not hurting does not need either. The same holds if the business is about to change how it works: settle the process first, because software fixes a process in place.

When to get help

Ask for an assessment when you score four or more and either a ready-made product has already failed you, or you cannot tell whether one would fit. Bring three things: the files themselves, the list of who edits each one, and the two or three errors that cost the most. That is enough for a developer to say whether you need a product, a small tool or a larger system, and to say so before quoting.

Frequently asked questions

Is Excel bad for running a business?

No. For one person keeping one list, or for analysing figures that live somewhere else, it is the right tool. It becomes the wrong tool when several people depend on it as the live record of stock, orders or money, because a spreadsheet does not control who changes what or record why.

Should I move to Google Sheets instead?

Moving to a shared online sheet fixes one problem, several copies of the same file, and is worth doing if that is your only problem. It does not fix duplicate entry, missing history of stock movements, or one person holding all the formulas.

Do I need custom software, or will a ready-made product do?

Try ready-made first. If your billing, stock and accounts work the way a standard product expects, a subscription is cheaper and faster than a build. Custom software earns its cost when your process has rules a standard product cannot hold, or when you need several systems joined together.
