What WavX builds
WavX builds gym management software as a custom web application for the front desk, trainers and owner, with an optional member app. It suits independent gyms, multi-branch chains and franchises, boutique studios (yoga, pilates, CrossFit, martial arts, dance) and corporate or residential-complex gyms run by a facility manager. It is one of the custom software and business systems WavX offers, and shares most of its billing logic with the subscription and membership platforms WavX builds.
A gym's business is renewals. New members are expensive to win; the money is made when existing members renew, and lost quietly when they drift away. Most of the value in gym software comes from knowing, every morning, who is due, who has stopped coming, and who is in a trial and has not been called.

The billing rules are where gyms differ most and where ready-made products most often fall short. Settle these before design:
Plan lengths and what they include. Gym floor only, or classes, pool and PT too.
Freeze rules. How many days per plan, minimum notice, whether a fee applies, and who can approve one.
Transfers and upgrades. Moving a plan to a friend; upgrading mid-plan and how the balance is credited.
Grace period. How many days after expiry a member can still enter, and when the door stops them.
How payment is collected. Up front for three, six or twelve months, or monthly by mandate. A recurring UPI Autopay mandate lets a member approve once and be debited each month, within RBI's limits and notice rules.
A good renewal screen shows the front desk, each morning, the members expiring in the next seven days, those already expired but still visiting, and those who have not been in for two weeks.
Most gyms sell at the desk: someone walks in, asks the price, takes a trial and is never called again. The enquiry module exists to stop that, and it is often the cheapest module to build and the quickest to show a result.

The report that matters is conversion by source and by staff member. It tells the owner which marketing brings people who actually join, and which staff close them.
Access control and member data
Tying the door to the billing system is what stops unpaid members training for months. The usual options are a QR code on the member's phone read at the desk or a turnstile, an RFID card, or a fingerprint or face reader. WavX can integrate biometric and attendance devices where the device or its software offers an API or export; the exact model is checked during scoping.
Fingerprints, face images, body measurements and progress photos are personal data. Under the Digital Personal Data Protection Act and the Rules notified on 14 November 2025, the gym is responsible for that data; the government's release on the Rules describes clear consent notices, security safeguards and prompt notice to affected people after a breach. In practice: ask for consent at sign-up in plain words, offer QR as an alternative to biometrics, keep progress photos visible only to the member and their trainer, and delete data when a member asks. The Rules have an 18-month phased timeline; check the current position with your adviser.
GST on the bill
The GST Council's FAQ on its 56th meeting says beauty and physical well-being services, including health clubs and fitness centres, attract GST at 5% without input tax credit, down from 18%, from 22 September 2025. Supplements, shakers and merchandise sold at the counter are goods with their own rates. The software should let your CA set the rate on each plan and product. This describes the software, not tax advice.

How the build runs
Plans and rules. Every plan, add-on, freeze and transfer rule written down and agreed, with real examples.
Member import. Current members with their plan end dates and dues, imported and checked against the register. Mistakes here become arguments at the desk.
First release. Members, billing, renewals, attendance and enquiries, run at the desk.
Door and payments. Access hardware and recurring payment switched on once the member data is clean.
Second release. Classes, trainer scheduling, workouts and the member app. Reminders go out on the WhatsApp Business API from the gym's own number.
When ready-made gym software is the better buy
Do not commission a custom build if:
You run one gym with standard plans. Ready-made gym software covers it for a monthly fee and starts this week.
Your members already book through a fitness marketplace. Then the marketplace's tools and terms matter more than your own system.
You want an app mainly to look modern. A member app costs money to build and maintain; if members only need renewal reminders and a check-in code, WhatsApp and QR do that without an app.
Custom software pays off for chains and franchises, for studios whose class packs and memberships are the product, and for brands that want members in their own app rather than a vendor's.

Usually not. Ready-made gym software covers members, renewals, attendance and reminders for a monthly fee and starts at once. Custom makes sense for chains and franchises, studios whose class and pack rules the products cannot express, or brands that want their own member app.

Can it work with our biometric or turnstile system?
Usually, if the device or its software offers an API or a data export. We check the exact model during scoping. If it does not, a QR code at the door read by a tablet or a phone is a common replacement.
