Description
Solution Garage and car-service management software
WavX builds garage management software for workshops, multi-brand service centres and detailing studios: job cards, digital inspections, estimates the customer approves on WhatsApp, parts stock, mechanic allocation, GST invoices and service reminders. A single-workshop system plans at about ₹2.6 to ₹3.9 lakh on the WavX estimator. One small workshop is usually better served by ready-made garage software.

What WavX builds
WavX builds garage management software as a custom web application used at the service desk and on the workshop floor, with an optional mobile app for mechanics or customers. It suits multi-brand service centres, body and paint shops, two-wheeler workshops, detailing studios and small chains. It is one of the custom software and business systems WavX offers.
A workshop's day turns on the job card. A car comes in, someone records the complaint and the odometer, a mechanic inspects it, the advisor prices parts and labour, the customer approves, parts are issued, work is done and checked, and an invoice goes out. Most of the cost of running a garage on paper or spreadsheets comes from the gaps between those steps: a part issued but never billed, an approval given on a phone call nobody recorded, a car promised for five o'clock with no one tracking it.
Custom software is worth considering when you have:
Several outlets that should share customers, vehicle history, parts and pricing.
Insurance or fleet work with its own approval and billing rules.
A customer-facing app or website that should show live job status or book services.
A process of your own , such as packages, extended-warranty work or doorstep pick-up, that ready-made products force into workarounds.

How the workshop type changes the software
The same modules weigh differently depending on the work. Scoping starts by placing your workshop in this table.
Workshop type
What dominates
What the software must get right
Two-wheeler service
High volume, short jobs, walk-ins
Fast check-in (registration number and phone only), a token queue, service packages
Multi-brand car service
Advisors juggling many open jobs
Estimates and approvals, promised times, parts issued against each job
Body and paint shop
Long jobs, insurance claims, photos
Damage photos at check-in, claim and surveyor tracking, the insurer and customer split on the bill
Detailing studio
Packages, memberships, repeat visits
Package balances, before-and-after photos, reminders by date
Fleet maintenance
Contract customers, many vehicles each
Per-fleet rates, approvals by the fleet manager, monthly consolidated invoices
Small chain
Several of the above at once
Shared vehicle history, central parts pricing, outlet-level reports
A body shop and a two-wheeler workshop can use the same underlying system, but the screens the staff see every day should be different. That difference is most of the case for building rather than buying.
GST and the invoice
A garage invoice usually mixes parts and labour, which can carry different tax treatment, so the software should let your CA set the tax per item rather than per invoice.
E-invoicing applies only to B2B invoices. As of October 2026, the e-invoice portal states that it is mandatory for businesses whose aggregate annual turnover exceeds ₹5 crore, from 1 August 2023. A workshop above that threshold with fleet or corporate customers needs those invoices registered and carrying an IRN and QR code; walk-in car owners are B2C and are not covered. The GST e-invoicing integration page explains how that connection works. This is a description of the software, not tax advice.
WhatsApp in the workflow
For most Indian workshops, WhatsApp is already the channel for photos, estimates and "your car is ready" messages, sent from a personal phone. Moving it onto the WhatsApp Business API means the messages come from the business number, are sent automatically at each stage of the job card, and are stored against the job. Meta has charged per message since 1 July 2025. As of October 2026 its pricing page lists marketing, authentication and utility templates as charged, with utility templates and ordinary replies free inside an open customer service window. Service reminders sent months after a visit are templates, so they are a running cost separate from the build.
What it costs to plan for
Planning ranges from the WavX software cost estimator , with small scale and standard design selected. A range is the subtotal minus 15% to plus 25%. They are not quotes.

Insurance workflows, fleet billing and a Tally link can each move the figure. Running costs are separate: hosting, WhatsApp message charges, payment gateway fees, and maintenance, which WavX plans at 15–25% of build cost per year . The garage software cost guide compares subscription and custom costs in more detail.
How the build runs
A day at the workshop. Follow three or four cars from gate to delivery, including one insurance job if you do them. The module list comes from what actually happens, not from a feature checklist.
Design for the floor. Screens that work on a phone with greasy hands: large buttons, photo capture, as little typing as possible.
First release. Job cards, inspections, estimates, parts and invoicing, used in the workshop while the next modules are built.
Data migration. Customer and vehicle lists, and opening parts stock, imported from your current sheets or software.
Parallel running and go-live. A week of both systems, then the switch.
Second release. Reminders, customer app, insurance and fleet modules, in the order that earns most.
When ready-made garage software is the better buy
Do not commission a custom build if:
You run one workshop with a few bays and mostly walk-in customers. Ready-made garage products cover job cards, parts and invoices for a monthly fee, and start this week.
Your real problem is that nobody records parts issues. That is a discipline problem first. Software makes it visible, but it will not fix it on its own.
You do not know your numbers yet. If you cannot say how many jobs a month you handle or what the parts margin is, run a ready-made product for six months. You will learn what you actually need, and any later custom build will be better scoped.
A custom system starts to pay off when outlets multiply, when insurance and fleet work make up a large share of revenue, or when the business wants a customer app that is its own rather than a vendor's.
What to have ready before asking for a quote
Number of outlets, bays, advisors and mechanics.
A sample job card, estimate and invoice, paper or digital.
Your parts list and how stock is counted today.
Whether you do insurance, fleet or doorstep work.
Which systems it must talk to: Tally, a website, WhatsApp, a payment gateway.
Frequently asked questions
How much does custom garage management software cost?
On the WavX software cost estimator, a staff-only system for one workshop plans at roughly ₹2,63,500 to ₹3,87,500, and a system with online payments, customer approvals and live job status at ₹6,63,000 to ₹9,75,000. These are planning ranges, not quotes; the price is fixed after scoping.
Should a small workshop build its own software?
Usually not. A single workshop with a few bays and walk-in customers is well served by a ready-made garage product or a billing app. Custom software pays off for multi-outlet chains, insurance-heavy body shops, fleet contracts, or workshops that need the system tied into their own website, app or accounts.
Does the software have to generate GST e-invoices?
Only for B2B invoices, and only if your aggregate annual turnover crosses the threshold. As of October 2026 the e-invoice portal states that threshold as ₹5 crore, applicable from 1 August 2023. Fleet and corporate customers are B2B; most walk-in car owners are not. Your CA should confirm how it applies to you.
Can customers approve repair estimates on WhatsApp?
Yes. The usual design sends the estimate with photos from the inspection as a link on WhatsApp, the customer approves or rejects each line, and the approval is stored against the job card with the time it was given.
Will it work with Tally?
It can. Invoices, receipts and parts purchases can be sent to Tally so the accounts are not keyed in twice. The scope of that link is agreed during scoping.
